How we handle your information.
1. Who we are
SkoopStak is a software toolkit for pet-waste removal businesses, operated by Scoopmaster LLC, a Connecticut limited liability company doing business as SkoopStak ("SkoopStak," "we," "us," or "our"). Our products include the Skoop Quoter and the Financial Dashboard, available at app.skoopstak.com and our marketing site at skoopstak.com.
This Privacy Policy describes what personal information we collect, how we use it, who we share it with, and the rights you have over your information. By using SkoopStak, you agree to the practices described here.
2. What we collect
Account information
When you sign up, we collect your email address. We use it to send you a sign-in link, transactional messages (like payment receipts), and occasional service announcements.
Business identity you provide
When you customize your branding, we store what you enter: your business name, logo image, brand color, business address, phone number, email address, website, and a custom footer note. This information appears on the PDFs your tool generates.
Business operations data you enter
As you use the tool, you may save:
- Origin addresses (where your trucks drive from), including their geographic coordinates obtained via Mapbox.
- Custom service frequencies you define.
- Financial data in the dashboard: revenue tiers, subscriber counts, expense categories and line items, KPI inputs, scenario projections, monthly actuals, and cash-paying customers you list.
Customer information you enter for quoting
When you create a quote, the tool processes:
- The customer's address (sent to Mapbox for geocoding and map display).
- The customer's name and notes you optionally add.
You're responsible for ensuring you have permission to provide customer information to a third-party service like ours. See our Terms of Service for details.
Payment information
When you subscribe, our payment processor Stripe collects and stores your payment card details directly. We never see or store your full card number. We do receive limited information from Stripe (such as your subscription status, the last 4 digits of your card, your billing email, and the country on file) to display billing state in the app.
Usage and device data
Like most websites, our hosting provider Netlify automatically logs basic request data (IP address, browser type, referring URL, timestamp) when you visit our sites. We use this for security and operational debugging.
3. How we use it
We use the information described above to:
- Provide and operate the service: run the Quoter, render maps, compute the Financial Dashboard, generate branded PDFs.
- Authenticate you: send magic-link sign-in emails.
- Process payments: charge your card via Stripe, manage trials and renewals.
- Communicate with you: transactional notices (sign-in, payment receipts, trial-ending reminders, payment failures) and occasional product updates.
- Improve the product: analyze aggregate usage patterns to fix bugs and decide what to build next.
- Protect the service: detect abuse, enforce our Terms of Service, comply with legal obligations.
4. Who we share it with
We share information only with the third-party services we use to run SkoopStak. We don't sell your data to anyone, and we don't share it with advertisers.
- Supabase: hosts your account and business data. Privacy policy.
- Stripe: handles all subscription payments. We share your email, business name, and subscription state. Stripe is responsible for the card data itself. Privacy policy.
- Mapbox: renders maps and resolves addresses to geographic coordinates. When you load a map or look up a customer address, that address is sent to Mapbox. Privacy policy.
- Netlify: hosts our web application and processes basic request logs. Privacy policy.
- Email delivery provider (currently Supabase Auth, transitioning to a dedicated email sender). Delivers magic-link and transactional emails.
We may also disclose information if required by law, valid legal process, or to protect the rights, property, or safety of SkoopStak, our users, or others.
5. Cookies and tracking
We use browser local storage to keep you signed in (your authentication token) and to store transient state like in-progress quotes. We do not currently use cookies for advertising or third-party tracking. If we add analytics in the future (such as PostHog or Plausible), we'll update this section and prefer privacy-respecting options.
6. How long we keep data
We retain your data for as long as your account is active. When you delete your account, we delete your personal and business data from our active systems within 30 days. Some records may persist in encrypted backups for an additional 30 to 60 days before they're rotated out.
Records that we are legally required to keep, primarily payment-related records held by Stripe, may be retained for up to 7 years as required by U.S. tax and financial regulations.
7. Your rights
Regardless of where you live, you can:
- Access a copy of the data we hold about you.
- Correct inaccurate information.
- Delete your account and have your data removed.
- Export your data in a portable format.
- Withdraw consent for non-essential processing.
Residents of Connecticut, California, Virginia, Colorado, and other states with comprehensive privacy laws have additional rights under those laws (such as the right to appeal a denial of a request). To exercise any of these rights, email support@skoopstak.com from the email address on your account. We'll respond within 30 days.
We do not sell personal information, and we do not engage in "targeted advertising" or "profiling" as defined by these laws.
8. Children
SkoopStak is a business tool intended for use by business owners. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected information from someone under 18, we will delete it promptly.
9. Security
We take reasonable measures to protect your information, including encrypted connections (HTTPS), row-level database access controls so one user cannot read another user's data, and secure password and token handling. No system is perfectly secure. If we become aware of a breach affecting your personal information, we will notify you and the appropriate authorities as required by law.
10. Changes to this policy
We may update this Privacy Policy from time to time as the product evolves or laws change. If we make material changes, we'll email active users and update the "Last updated" date at the top of this page. Continued use of the service after a change means you accept the updated policy.
